CAC Status Update

Greetings CAC/Project Team  members - here is an FYI on the public engagement activities since our Thursday night CAC meeting -

1.  The project team met in Ann Arbor on Friday and decided to push the public meeting to Feb 6 to allow for time to invite all of the survey respondents to the meeting.
2.  On Saturday, I had an extended conversation with Judy Hanway regarding the CAC process ... welcome to the CAC, Judy!
3.  The City has prepared a response to questions about whether or not the CAC members needed to be vetted by City Council prior to CAC formation (as a preview, they didn't but a formal response will be issued soon).
4.  We entered 39 more survey responses on Monday and began a recalculation and quality check on the survey results.
5.  Lori has or will shortly furnish the survey database to the City for geo classification and problem solving analysis.
5.  We are in the process of drafting a full survey report (just edited draft #2).
6.  We hope to have a fully vetted report including comments on BaseCamp by the end of the week (sorry about the overpromise last week to be done by today ... the full report, versus the highlights that we passed out, is taking more time than I imagined).
7.  I will be issuing a Google poll on Feb/March/April dates for future CAC meetings within two days.

Kathy - I just had the system resend the welcome email - it will be a message from "Basecamp".  If you do not receive the welcome message, please check your junk or spam folder, as sometime the welcome message is filtered by email programs.  If you do not receive the welcome message, please contact me.

Just a quick FYI to the group - when you respond to a message from the basecamp system, it is automatically also being emailed to all of the members who are part of the original message thread.  You can see who those members are, and turn off notifications on a per-message basis at the bottom of the message from Basecamp.  It should be just below this text.

Thanks for the update.  I have the following general comment.  From the outset of this CAC, I have been concerned about the timing of the Meeting Minutes from each meeting.  In every project that I have ever been involved with, where the Minutes are distributed, this distribution occurs with a few days of the actual meeting.  The intent is for the attendees to review the minutes for accuracy and completeness while the memory of the meeting is fresh in their minds.  The current process being used does not allow that.  We don't get the minutes until many weeks later. From the outset of the CAC I have noticed and I have stated, that there has been issues raised during the meeting that are not recorded in the minutes.

We have tried to balance responding to the CAC questions with timely distribution of the meeting minutes.  As the meetings have been weeks apart, we felt it was more important to distribute minutes with responses to most of the questions that occurred during the meeting.   Many of the questions have required multiple days of research.  I will raise this issue at the next CAC meeting.

As to issues raised that were not covered in the minutes, the minutes are not intended to identify every comment made during a meeting. However, if you believe there are issues that we have missed, please let me know and we will include them in the 1/9 meeting summary.

I would appreciate you raising this issue at next CAC meeting or with a mini poll here on basecamp.

In addition, upon review of some of the responses to the questions,  now listed on basecamp, there needs to be a source of the response listed.  The current process has Lori B. inserting comments on techinical or legal positions of the City.  This is not appropriate. A response should list the City Official or Consultants name followed by the text of the response.

Thanks for that suggestion. I will include, with the response, whether it comes from the City or from OHM Advisors. As I mentioned in another message, all responses from OHM Advisors (the City's consultant) are reviewed by the City's Project Manager Nick Hutchinson before being distributed.
